Every small business automates the same way at first: a Zapier account, a few triggers, done. It works — until the bill creeps past what a junior hire would cost, or until you need a workflow that Zapier's linear trigger-action model just can't express.
Where Zapier stops being enough
Zapier prices per task, and tasks add up fast once automation is doing real work instead of a single notification. The pricing model punishes exactly the growth you want.
The bigger limit is logic. Zapier is built for "when X happens, do Y." The moment you need branching decisions, retries, an AI step that reads a document and decides what to do next, or several tools talking to each other in sequence, you're stacking Zaps on top of Zaps to fake what should be one workflow.
What n8n changes
- Ownership. n8n runs on infrastructure you control. Cancel a subscription and your automations keep running — they're not rented.
- Real logic. Branching, loops, error handling, and AI agent steps are native, not workarounds.
- Pricing that doesn't punish scale. No per-task billing. What you pay for is the build, not every time it runs.
When it's not worth switching yet
If your automation is genuinely simple — one trigger, one action, low volume — Zapier is still the right tool. Migrating adds setup cost for no real gain. The switch pays off when you're maintaining more than a handful of Zaps, when monthly Zapier cost is approaching what a fixed- price n8n build would cost, or when you've hit a workflow Zapier genuinely can't do.
How the switch actually works
A migration doesn't mean rebuilding everything at once. The usual path is auditing what's running today, ranking automations by cost and complexity, and moving the worst offenders first — usually the ones burning the most tasks or breaking the most often. Everything else can keep running on Zapier until it's worth touching.
