Challenge
Bookings ran on chat and memory
Lesson bookings lived in chat messages and a shared calendar. Students wrote when they wanted a slot. The owner copied it into the calendar by hand.
The result: double bookings, wrong dates, and post-lesson reminders that never went out. The owner — who also teaches — spent evening hours doing admin work instead of resting or preparing lessons.
Solution
Three n8n workflows that run the calendar
We built three n8n workflows around Google Calendar, Google Sheets and Telegram — no manual copy-paste, no missed reminders.
- Pre-lesson reminders: checks upcoming in-person and online lessons, looks up each student's phone number, and sends a Telegram reminder before class — with an email fallback if the number isn't found.
- Post-lesson check: after each lesson, confirms it took place, updates the register automatically, and alerts staff by Telegram or email if something needs attention.
- Weekly report: every Monday morning, a summary of the lesson register is generated from Google Sheets and delivered straight to the owner by Telegram and email.
