Case study
A language school that stopped chasing calendars
Challenge
Bookings ran on chat and memory
Lesson bookings lived in chat messages and a shared calendar. Students wrote when they wanted a slot. The owner copied it into the calendar by hand.
The result: double bookings, wrong dates, and post-lesson reminders that never went out. The owner — who also teaches — spent evening hours doing admin work instead of resting or preparing lessons.
Solution
A Telegram bot that runs the calendar
We built a Telegram bot connected to Google Calendar through an AI agent on n8n. Students book, move and cancel lessons from chat — the bot handles the rest.
- Automatic checks block double bookings and wrong dates before they happen.
- After each lesson, the bot asks the teacher to confirm it took place and updates the register.
- Holidays are handled automatically, with alerts only for in-person lessons.
